How to show a different contact for each report/dashboard within a Power BI App
I recently got a request asking if it was possible to have a different contact person for each report or dashboard within a single Power BI App.
The good news is yes, this can certainly be done, and I will show you below how I got it working.
What typically happens when a Power BI App is created, is the Contact information defaults to “Show app publisher as shown below”
What this means is that when a user navigates to the Power BI App and clicks on the drop down, they see the app publisher information as shown below.
So, to get this working where I can have a different Contact for each report I had to complete the following steps below.
In my example I am going to put in contact information for the following reports:
-
Report Name: Exact Aggs – PPU
- Contact: Gilbert Quevauvilliers
-
Report Name: Exact Aggs – PPU – No Incremental
- Contact: Luc Quevauvilliers (Yes that is my brother!)
The first thing that I need to do is to go into the report settings, by first going into the Content area within my App Workspace.
I then click the three dots next to the report “Exact Aggs – PPU” and select Settings
Next, where it says Contact, I search for my name and click on it from the selection.
Once done I can see whom the contact is.
I repeat the steps again, but this time I am doing it for the report “Exact Aggs – PPU – No Incremental”
Next, where it says Contact, I search for my brothers name and click on it from the selection.
Once done I can see whom the contact is.
Now, I have completed the steps for the different contacts, but I am not done yet.
To get this working for the App, I must go and update the App.
I click on Update App (Because I have already created the App) and in the Setup section I change the Contact Information from “Show app publisher” to “Show items for contacts from the workspace”
Once the above is done, I then click on Update App.
Now when I navigate to my App and I click on the drop down for my first report “Exact Aggs – PPU”, it has now changed and I can see my name with the contact information.
It is great to see that it has changed from previously showing Owner to Contact
Likewise, I then move to my next report “Exact Aggs – PPU – No Incremental” and review the contact information and I can now see that it has got Luc’s contact details.
Summary
In this blog post I have shown how I changed the Power BI App to show different contact information for the reports.
If there are any questions or comments, please leave them in the section below.
Thanks for reading and have an amazing day
very clever idea and helpful 😊 🙏
Hi Gilbert, This is really valuable, as I have found with a vast number of your posts. I’ve been looking but it would really be great to show this field on the report as well as the drop-down (as users often don’t find a drop-down). The GetReports API doesn’t seem to include this field. Do you know of anyway to get this field to show on a report, or of anything in the future that might support this?
Hi Richard,
Thanks for the kind words.
I had a look at the REST APIs and I cannot find anything that indicates to find the owner unfortunately.
ok. Thank you for checking. I’ll put up a suggestion in the Power BI community page. https://ideas.powerbi.com/ideas/idea/?ideaid=7a79ea32-7b90-ed11-a76e-281878de4cfd
Awesome thanks for that I will vote for the idea too!
